Supplier Scorecard Template

A weighted scorecard to compare suppliers objectively during a tender or an annual review.

A supplier scorecard turns opinions about suppliers into scores you can compare and defend. Use it for supplier evaluation when choosing between bidders in a tender, and again once a contract is running, to check whether a supplier still deserves the business.

The scorecard covers the areas that matter to most businesses: quality, cost, delivery, financial stability, risk, service and sustainability. You set the weightings, score each supplier from one to five, and the spreadsheet calculates a weighted total.

Free to download. Available as Excel.

What's included

  • Weighted scorecard with seven standard criteria
  • Editable weightings that must add up to 100
  • Scoring guide describing what a 1, 3 and 5 look like
  • Side-by-side comparison for up to five suppliers
  • Automatic weighted totals and ranking
  • Notes column for evidence behind each score

How to use this template

  1. Decide which criteria matter for this purchase and adjust the weightings so they total 100.
  2. Agree the scoring guide with everyone who will score, so a 3 means the same to each person.
  3. Gather evidence for each supplier: proposals, references, site visits and financial checks.
  4. Score each supplier independently, then compare scores as a group and agree a final figure.
  5. Record the evidence for each score in the notes column.
  6. Use the weighted total to shortlist, and keep the sheet as your record of the decision.

Frequently asked questions

Most supplier evaluations use quality, cost, delivery, financial stability, risk, service and sustainability. Add or remove criteria to fit the purchase, for example technical capability for engineered parts or data security for software.

Not always. For commodity items price may dominate, but for critical goods or services a cheap supplier that fails can cost far more than the saving. Set weightings based on what failure would cost the business.

Repeat the supplier evaluation for key suppliers at least once a year and smaller suppliers when contracts come up for renewal. Use the same scorecard so you can see whether performance is improving or slipping.
